What is The Process for an IT Project?

ITS will use the 5 phases of a project listed here. Other sub tasks may also use these same terms. Your team must keep track of items that need to be accomplished in these high level grouplings to insure a smooth path to completion.

There are two stages to every IT project - Forming and Implementing. It is normal that many projects never complete the first stage, due to lack of funding and/or resources.

1. Initiating a project (Forming): First understand why the IT change is needed, a business case which includes what IT change is needed, benefits, rough order of magnitude costs, Risks, different possible solutions or Alternatives.鈥 This is when you need to include your management, BRM, and budget officer for funding and approvalOnce an Alternative is selected, then go to the second stage of Forming called Planning.鈥 

2. Planning (Forming): Planning new cloud or data transfer appication, as well as other IT projects, involves multiple WSU departments including:

InfoSec: Cloud Survey 鈥 The Cloud Survey is for the provider to fill out to help us understand how they deliver the service; InfoSec survey -  email the name of the vendor and vendor's contact to: transferreview@wichita.edu

Data Management Committe (DMC) - website can be found here Data Management Committee (DMC) Review 鈥 The Data Management Committee reviews all of the information from the different teams and makes recommendation

ITS - contact ITS Director for area needed or Ken Harmon or Anita Barrett to figure out the month for the project to start, as labor resources must be available to implement.

Legal - Please contact GeneralCounsel@wichita.edu at least two weeks or more in advance for contract review. You must know and understand the content of the contract for your project deliverables. They make sure it is a contract with T&C's that WSU should sign or not.

3. Executing (Implementing): ITS Resources must be allocated to the project to complete the work - contact ITS Directors of needed resources or Anita Barrett, this should have been pre-arranged in the Planning stage.

KITO - Contact Anita Barrett x7575, fill out the ticket to get started. We never approach KITO with a project request, unless it is approved and funded or over it is funded over $1 million. If the funding is over $1 million then we need to get KITO involved with the Planning for additional steps.

Purchase - Contact Jeanne Patton/ITS Directors to get help purchasing IT equipment or software with your org fund code. Many IT items must be and can only be purchased via ITS for many regulatory and other reasons.

Building the new system - Contact and work closely with your assigned Project Manager. 90% of the time, this will be a technical lead that has resources available to execute the project. 4. Monitoring & Controlling (Implementing): Sponsors must be communicated with monthly from the Project Manager for updates on the project or program.  and track progress are all available in TDX for you to view and monitor, TDX is self-serve 24x7 at wichita.teamdynamix.com.

5. Closing (Implementing): Your role as sponsor or owner of the new information system, is Participating in Testing or provide resources that can test timely, giving approval to go live, provide insight on any issues, give feedback into ITS鈥檚 Lessons Learned or complete surveys. 

I鈥檓 exhausted looking at this list, however, I know and have practiced a skill PMI calls Tailoring, the level of Project Management is executed to match to the risk, size, complexity, and user impact level of each project.  This means you can expect more oversight with high risk, size, complexity, and user impact but 95% of projects need far less. Don鈥檛 be overwhelmed, and don鈥檛 go by yourself, either your BRM or PMO office can help you.  Some larger projects need a project manager in both the functional group and ITS if there are a lot of process changes.
